Documents Review Focus Group

Purpose 

The Documents Review Focus Group consists of a small number of residents who have volunteered to review the Association's governing documents and suggest changes and updates to the Board and the Membership.

Updated Declaration Project
The group's first task was to review the Declaration. The approach was to make the document more easily readable and clean up spelling errors and areas where the text was out of context or self contradictory. This updated declaration was also set up in a slightly different format, made searchable and included a table of contents with hyperlinks to the document's text. There was no change to any of the substance.

At its June 20, 2023 meeting, the Board reviewed and approved a proposed Updated Long Bay Declaration. The Updated Declaration has been approved by written assent of 143 residents, constituting about 80% of all Long Bay Residents and has been recorded at the Belknap County Deed Registry. A copy of the recorded document as well as a searchable version can be found on the Docs/Forms Tab.

Updated Bylaws Project
Following completion of the Updated Declaration Project, the group has turned its attention to the Long Bay Bylaws. 

The goal will be similar to the Declaration: To make the document more accessible, clean up errors and address areas that are unclear or self contradictory. The format will be basically the same as the Updated Declaration, will also be searchable and will also contain hyperlinks to the text.

The first step will be to produce a draft with no change to any of the operative language. However, there has been discussion of some more substantive changes for membership discussion and consideration.  

More detail will follow as the group goes through its work during the winter and early spring, with the goal of having text ready as the summer approaches and in time for the Town Hall and Annual Meetings.
